Diamond 9 Productions – Wedding Videography Terms & Conditions

These Terms & Conditions (“Terms”) outline the agreement between Diamond 9 Productions, operated by Videographer Harry Bristow (“Videographer”, “we”, “our”, or “us”), and the wedding couple (“Client”, “you”, or “your”). By confirming a booking or paying a deposit, you agree to these Terms.

1. Booking & Confirmation

1.1. Your booking is confirmed once the date, package, and rate have been agreed in writing and a deposit has been received.
1.2. Dates cannot be reserved without a confirmed booking and deposit.
1.3. We recommend booking as early as possible, ideally 12 months in advance, as popular dates fill up quickly.

2. Coverage & Creative Style

2.1. The Videographer will film your wedding in a candid, cinematic style consistent with previous work by Diamond 9 Productions.
2.2. The Client acknowledges they have viewed previous work and are satisfied with the creative approach.
2.3. The Videographer cannot guarantee the recording of every guest or moment, but all key parts of the day will be captured to the highest possible standard.

3. Copyright & Usage

3.1. The Videographer retains full copyright and ownership of all footage, including raw files and edited films.
3.2. The Client receives a personal-use licence to share the final video on social media, websites, and with friends or family.
3.3. Any commercial use (e.g. marketing by vendors or venues) requires written permission from the Videographer.

4. Filming Schedule

4.1. Filming will begin and end at the times agreed before the wedding day.
4.2. Any extensions or changes on the day may incur additional fees.
4.3. The Client is responsible for ensuring access to all agreed filming locations and notifying relevant venues or officiants in advance.

5. Editing & Music

5.1. The final film duration and style will be discussed in advance (typically 6–15 minutes for a highlight film).
5.2. One round of re-edits is included if requested within 14 days of delivery. Further changes may incur editing fees (£30/hour).
5.3. Music will be selected and licensed by the Videographer unless a specific licensed song is provided by the Client.

6. Delivery

6.1. The final video will be delivered via a downloadable online link within 6–8 weeks of the wedding date, unless otherwise agreed.
6.2. Longer turnaround times may occur during peak wedding season, but the Videographer will keep the Client updated.

7. Cancellations & Postponements

7.1. Cancellations must be made in writing.
7.2. If the Client cancels less than 60 days before the wedding, up to 50% of the agreed fee may be charged to cover lost time and preparation.
7.3. Postponements due to circumstances beyond the Client’s control (e.g. illness, venue issues, severe weather) will be accommodated where possible.
7.4. Deposits are non-refundable but may be transferable to a new date if available.

8. Liability & Equipment

8.1. The Videographer will take every care to ensure professional results. However, in the rare event of equipment failure, data loss, or unforeseen circumstances, liability is limited to a full or partial refund at the Videographer’s discretion.
8.2. The Client is responsible for ensuring that all filming locations are safe and accessible.
8.3. The Videographer holds appropriate insurance and will take all reasonable precautions to protect people and equipment.

9. Force Majeure

If the Videographer is unable to perform due to illness, accident, or events beyond control, every effort will be made to find a replacement or reschedule. If this is not possible, all payments (excluding work already completed) will be refunded.

10. Acceptance of Terms

By booking with Diamond 9 Productions, the Client confirms they have read, understood, and agreed to these Terms & Conditions.
